Auto-reordering for salons: three ways to start

You don't have to count a single bottle to get going. Upload the invoices you already have and we'll work out what you reorder, and how often.

Auto-reordering means SalonStocker watches your stock, drafts the order when something's running low, and waits for your approval before anything ships — no manual stock checks, no rebuilding the same cart every week.

Salon owners lose an estimated 2–4 hours every week to ordering admin. The hard part was never the automation. It's getting it set up without turning your first week into a data-entry project.

What auto-reordering does
  • Reads your reorder patterns from the invoices you upload.
  • Drafts the order when stock runs low, so you're not rebuilding carts.
  • Gives you a moment to review before anything ships — it's not blind automation.
  • Respects your negotiated rates and your supplier relationships.
●

The problem: manual reordering wastes time

The typical salon reordering workflow hasn't changed in twenty years. You walk to the backbar, count bottles, check the supplier portal — or five of them — cross-reference your last order, build a cart, and hit submit. Then you do it again three days later when you run out of something you missed.

And there's a cost beyond the time. Manual reordering means:

  • ·Emergency orders. You miss a stock-out because you didn't check on the right day, and now you're paying express shipping or settling for a different brand.
  • ·Over-ordering. You lose track of what you already have and end up with excess stock tying up cash.
  • ·Supplier drift. You default to whoever's portal is easiest to navigate, not who you actually meant to order from.
●

Three ways to start

There's no single right way in. Pick whichever costs you the least work.

  • ·Upload your invoices — the fastest way in. Add the last few months of supplier invoices to your profile. We read what you ordered, how much, and how often, then set your levels from that. Nothing to count, nothing to type.
  • ·Set your own thresholds. Prefer to start from scratch? Tell us when to reorder each product. Begin with 5–10 of your fastest movers, not the whole shelf.
  • ·Let it learn as you order. Just order through SalonStocker as normal and your cadence builds itself. Slower to get going, but there's nothing to set up.

However you start, the loop is the same:

01
Upload your invoices
Drop your recent supplier invoices into your profile.
02
We read your cadence
What you reorder, how much, and how often.
03
Confirm your levels
Check what we suggest, adjust anything that looks off.
04
Approve each draft
We draft the order when stock runs low. You tap approve.

Every draft still comes to you. You can adjust quantities, skip a reorder, or change your levels at any time. You're not manually building orders every week — but nothing runs unsupervised either.

Why your invoices are the shortcut

Your invoices already hold everything auto-reordering needs to know — not the tidy version, the real one. A few months of them show what you genuinely reorder, how much you go through, and how often you order it. That's your cadence.

Working that out from memory takes a fortnight of guessing. Reading it from invoices takes minutes. It also means your first drafts land close: a threshold you invent on day one is a guess, while a level pulled from your own ordering history isn't.

You can upload them from your profile once you're in — PDFs, emailed statements or photos of paper copies all work. Add more later and your levels sharpen as they go.

What we do with them

Your invoices are yours. Your suppliers don't see them. We use them to set your reorder levels and build your product list — nothing else. What you've negotiated stays between you and your supplier.

What you get back

A salon on auto-reordering reclaims a meaningful share of those 2–4 hours a week. Fewer emergency orders, fewer surprise brands on the shelf, and less cash tied up in stock you didn't need to buy yet.

"Reordering used to be a Wednesday ritual. Now it's a tap on my phone. I've got that time back for the things that actually grow the salon."

Common concerns

"Do I have to upload invoices?" No. Thresholds work fine on their own. Invoices just get you to a useful setup faster, and with less typing.

"What if I change my mind after the draft is built?" You can modify or cancel any draft before it ships. No surprises.

"Does this lock me into your platform?" No. Your supplier accounts are yours. The orders SalonStocker drafts still go to your suppliers at your negotiated rates. We're not a distributor.

"What if I want to turn it off?" You can disable auto-reorder for any product, any supplier, or all of it, anytime. There's no contract. You stay in control.
